Rotherhithe Carpet Cleaners Health and Safety Policy

Rotherhithe Carpet Cleaners is committed to providing a safe and healthy working environment for our employees, clients, visitors and members of the public who may be affected by our cleaning activities. This Health and Safety policy sets out our approach to managing risks associated with carpet, upholstery and related cleaning services carried out in homes, offices and commercial premises.

We aim to prevent accidents, injuries and work-related ill health through effective planning, training, supervision and continuous improvement of our working practices. Health and safety is an integral part of the way we deliver our services and uphold professional standards.

Policy Objectives

Our main objectives are to identify and control hazards arising from our work, comply with relevant health and safety legislation and approved codes of practice, provide suitable information, instruction and training to our employees, and promote a positive safety culture across our company and service delivery area.

We will review this policy on a regular basis to ensure it remains relevant, effective and aligned with current legislation and industry best practice for cleaning operations.

Management Responsibilities

Senior management has overall responsibility for implementing this Health and Safety policy and ensuring adequate resources are in place to support it. Managers and supervisors are responsible for day to day health and safety arrangements, including communicating safe systems of work, conducting and updating risk assessments for cleaning activities, ensuring equipment and cleaning products are suitable, properly maintained and used safely, and investigating incidents and near misses to prevent recurrence.

Management will lead by example, demonstrate visible commitment to safe working, and consult with employees on health and safety matters that affect them.

Employee Responsibilities

All employees of Rotherhithe Carpet Cleaners have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. Employees are required to follow all safety instructions and procedures, use equipment, tools and cleaning agents in accordance with training and manufacturer guidance, report hazards, defects, accidents and near misses without delay, and wear appropriate personal protective equipment provided by the company.

Employees must not interfere with or misuse anything provided for their health, safety and welfare and are expected to cooperate fully with management in all health and safety initiatives.

Risk Assessment and Safe Systems of Work

Rotherhithe Carpet Cleaners will carry out suitable and sufficient risk assessments for all significant hazards associated with our cleaning services. These include, but are not limited to, slips, trips and falls due to wet floors and trailing hoses, manual handling of cleaning machines, furniture and equipment, use, storage and transportation of cleaning chemicals, electrical safety of machinery and extension leads, noise, dust and possible exposure to allergens.

Based on these assessments we will implement proportionate control measures, including documented safe working procedures, clear site set up and cordoning where appropriate, and the use of warning signs when floors and carpets are damp or in the process of being cleaned.

Chemicals and Hazardous Substances

We recognise the potential risks associated with the cleaning solutions and stain treatments used in carpet and upholstery cleaning. All substances will be assessed and controlled in line with relevant regulations. Only approved products will be used and these will be stored securely when not in use.

Employees will receive training on correct dilution, application and disposal of chemicals, including how to interpret safety data sheets, recognise hazard symbols and follow first aid advice. Protective gloves, eye protection and other personal protective equipment will be provided where necessary. We will seek to use environmentally responsible and low hazard products wherever practical, without compromising cleaning quality.

Equipment, Plant and Maintenance

Our cleaning equipment, such as extraction machines, vacuums and rotary machines, will be selected to be safe and appropriate for the task. All equipment will be inspected and maintained at suitable intervals, with defective items taken out of service immediately.

Employees will only operate equipment for which they have been trained and authorised. Electrical equipment will be visually checked before use and used in accordance with safety instructions. Cables will be routed to minimise trip risks and avoid contact with water wherever possible.

Manual Handling

Carpet cleaning often involves moving machines, hoses and furniture. To reduce the risk of musculoskeletal injuries, employees will receive manual handling training focused on safe lifting techniques, using handling aids and planning routes in and around client premises.

Wherever practical, equipment will be transported using wheels, trolleys or other aids. Heavy or awkward items will be moved by two or more people when required. Staff are encouraged to ask for assistance rather than attempt to move items that may pose a risk of injury.

Working on Client Premises

When working in clients homes, offices or commercial spaces, our employees will take all reasonable steps to protect the safety and comfort of occupants, visitors and the public. This includes maintaining clear walkways, using signage to indicate wet floors or ongoing cleaning, managing noise levels where possible, and securing hoses, cables and equipment to reduce trip hazards.

We will respect client property at all times and take care to prevent accidental damage, particularly when moving furniture or using chemicals near delicate surfaces.

Training, Information and Supervision

Rotherhithe Carpet Cleaners will provide appropriate health and safety training to all employees, including induction training for new starters, task specific training for particular cleaning methods and equipment, and refresher training as required. Information about hazards and precautions will be communicated clearly and in a form that is easily understood.

Supervisors will monitor working practices to ensure procedures are followed and standards are maintained. Additional support and coaching will be provided where required to maintain safe working.

Incident Reporting and Emergency Procedures

All accidents, injuries, near misses and dangerous occurrences must be reported promptly to management. We will record and investigate incidents to identify root causes and implement corrective actions to reduce the likelihood of recurrence.

Employees will be informed of emergency procedures relevant to the premises in which they work, including fire exits, assembly points and arrangements for first aid. Where necessary, our teams will coordinate with client representatives to ensure emergency arrangements are understood and followed.

Monitoring and Review

We will regularly monitor our health and safety performance through inspections, incident reviews and feedback from staff and clients. This policy, and the procedures that support it, will be reviewed periodically and updated when there are significant changes in legislation, our operations or industry best practice.
